Updating EXT guests email in MRM
If an EXT user requires their email to be updated in our systems to access SharePoint. Helpdesk can now update email using the MRM system and resend the invitation to the EXT guests directly within MRM. There are 2 options to get the email updated.
Option 1- Helpdesk updates email
- Open MRM and look for the Committee in question by selecting the “Committees & Divisions” tab and enter the committee’s name.
**Its important to look for the Committee the user is a member of FIRST, before you update any email address. This ensure you are getting the CORRECT person to update the email for. **
- Under the members tab select “Current” and look for the user in the “Current” member list. Once located, click on the users ID number to be brought to their User account page.
- On the overview page scroll down to “SharePoint User” section and select the edit button.
- In the window that pops up. Fill out the sections highlighted in Yellow.
- BE sure to Reset invitation status, and send invite email and add a invitation message. Also include your admin email in the “Invitation CC address” as indicated in highlighted yellow above.
Sample invitation message to user –
Hi [Users name] I am updating your email address on file at the request from [staff name i.e. Wendy tong or other] please accept this guest invitation to complete your account update”
Option 2 – User updates own email on the EGBC.ca website
**New option available to Users**
this option is still new, some testing is still happening on this option.
- Get the user to login to their account https://www.egbc.ca
- You should see your “Account Dashboard” presented on the screen, on the left had side of your screen, below “Account” look for the “Manage SharePoint Access”
- On the Manage SharePoint Access page, you will see a list of “Team Memberships” the user is a member of to confirm the correct Committee.
- You should see a Grey box like the one listed below:
- Instruct the user to click on “Update it here” user will be brought to the “New Access Email” page where they can enter their NEW email into the “New Access Email” section and press “Update”
- The email will update within MRM/SharePoint in a couple minutes.
Note: This will not update the email address used for regular communications from EGBC. This will only update the email address used for accessing shared resources.
